Dad’s short answer
Run your final payroll, download your reports and filed forms, then cancel from Settings, Subscriptions and billing. Switching at year end? Let QuickBooks finish 2026 first.
- QuickBooks Online Payroll (Intuit now calls it QuickBooks Workforce): Settings ⚙, then Subscriptions and billing, then Cancel in the Payroll section.1
- On Workforce Payroll, Premium and Elite, and on Desktop Payroll Assisted, Intuit charges $150 if you ask it to prepare year-end filings or W-2s after you cancel, so letting QuickBooks finish the year can be the better deal.1
- You keep access to your payroll data for one year after cancelling QuickBooks Workforce. Download it anyway.1
Before you cancel: three things to wrap up
Cancelling is the last step, not the first. Knock out these three and the rest is paperwork.
1. Your final payroll
- Run every payroll you want QuickBooks Payroll to handle before you submit the cancellation, including any bonus run or a final check for someone who’s leaving.
- Mind the check date. The day people get paid decides which quarter, and which year, a payroll counts in.2 A pay period ending Dec 31 that pays on Jan 8 belongs to the new year.
- Line it up with your next provider’s first payday so nobody misses a check and nobody gets paid twice. The Switch Planner works backward from that date.
2. Tax filings and year-end forms
- One provider files each quarter. If two providers both file a quarterly return for the same quarter, the second one gets rejected, so agree on who files what.3
- Form 941 is quarterly, due by the last day of the month after each quarter ends.4 Ask QuickBooks Payroll in writing which quarters it will file for you.
- W-2s: 2026 W-2s are due February 1, 2027.5 If you leave mid-year for Gusto, Gusto files the full year’s W-2s using your year-to-date numbers, and your old provider shouldn’t file them too.3
- See your federal deposits yourself. The IRS suggests employers who use a payroll company enroll in EFTPS, where you can check that deposits were made.6
3. Export your records
Download these while you still have full access and keep them in one folder. The IRS asks employers to keep employment tax records for at least four years after the fourth-quarter return for the year is filed.7
- Payroll registers and pay stubs for this year and last.
- Year-to-date totals per person, including people who left this year. Your next provider needs these.3
- Filed returns and confirmations: 941s, 940, state withholding and unemployment returns, plus tax payment history.7
- W-2s, W-3s and 1099s from earlier years.
- W-4s and state withholding forms for every employee.7
- I-9s, if your provider stores them. Keep each one for three years after the hire date or one year after the person leaves, whichever is later.8
How to cancel QuickBooks Payroll
QuickBooks Online Payroll (QuickBooks Workforce)
- Sign in as the Master Administrator or Company Administrator. If you don’t see the billing tab, you’re on a different login, or your accountant bought the subscription and can cancel it for you.1
- Go to Settings ⚙, then Subscriptions and billing.1
- In the Payroll section, select Cancel and fill out Intuit’s online cancellation form. Intuit can’t edit it after you submit, so have your last payroll date handy.1
- Full Service users: keep the bank account open until Intuit has debited your remaining tax amounts. Intuit emails within 3 business days, and again when the cancellation is complete.1
QuickBooks Desktop Payroll (Basic, Standard, Enhanced)
- Save a copy of every tax form you created or e-filed first. You keep your payroll data after cancelling, but you can’t recreate tax forms.1
- Go to Employees, then My Payroll Service, then Account/Billing Info, sign in with your Intuit Account, and choose Cancel Service. No company file handy? Sign in to your Intuit Account, select Details next to the payroll subscription under Products & Services, then Cancel Service.1
- Desktop Payroll Assisted: cancel from your Intuit Account (Products & Services, Details, Cancel Service). Afterward, filed returns stay viewable in Intuit’s Canceled Client Payroll Tax Center for 12 months, online only.1
Notice, fees and timing
- Year-end fee: on Workforce Payroll, Premium and Elite, and on Desktop Payroll Assisted, Intuit charges $150 if you ask it to prepare year-end filings or W-2s after cancelling. If you’re switching at year end, letting QuickBooks finish 2026 before you cancel uses the service you already paid for.1
- Billing for the last month: Intuit’s cancellation article doesn’t cover proration, so check your plan’s billing terms. They can differ between Online, Desktop and Assisted plans.
- Changed your mind? Intuit has a reactivation path for cancelled payroll subscriptions.1
- Keeping QuickBooks for your books? You can. Only the payroll subscription changes.
Terms vary by plan and by contract. Check your contract, and get the end date and the list of filings QuickBooks Payroll will still make in writing.
After you cancel
- QuickBooks Workforce: payroll data stays reachable for one year after cancelling.1
- Filed forms: in QuickBooks Online, Payroll, then Payroll taxes, then Filings, then Archived forms and filings under Resources. Tax payments are on the Payments tab.9
- Watch for two emails: one within 3 business days when Intuit has reviewed your request, and another when the cancellation is complete. Keep both with your records.1
