Year-end guide

How to switch payroll providers (year-end is the easiest time)

A January start means less history to move, no fights over who files which quarter, and a clean W-2 season. Here's the plan, with dates.

Dad’s short answer

Make your first payday with the new provider land in January 2027. For most small teams, Gusto is our pick; Patriot is cheaper, and QuickBooks Payroll suits people already on QuickBooks.

  • Aim for a first payday with the new provider in January 2027. With a Q1 start, Gusto only needs that quarter's pay stubs.1
  • Your old provider closes 2026: the Q4 Form 941 and 2026 W-2s, due Feb 1, 2027.5
  • One filer per quarter. Get it in writing who files what.2

Dad story

Picture two hardware stores. Same town, same 9 employees.

Store A switches payroll on July 15.

So it types in Q1 totals, Q2 totals, and every July pay stub.1

Store B switches with a first payday in January.

It types in… January.

Same software. Same owner energy.

One of them made it to the Little League game.

Why January 1 is the easy button

  • One filer per quarter. Only one provider can file a quarterly return for a given quarter. If both do, the second one gets rejected.2 Switching at the start of a quarter keeps that clean. Switching at the start of a year keeps it spotless.
  • The old provider closes its own year. Q4 Form 941 is due by Jan 31; when a due date lands on a weekend, you file the next business day.22 2026 W-2s are due to employees and the SSA by February 1, 2027.5
  • The new provider starts at zero. No year-to-date wages to rebuild, no Social Security wage-base math to carry over. For 2026, the Social Security wage base is $184,500.23

A year-end switch timeline (for a January 2027 start)

Now through mid-November: Pick the new provider. Open the account. Ask the old provider for a YTD payroll register, this year's 941s and state returns, and tax payment history.
Late November–early December: Enter company info, EIN and state account numbers. Add employees and contractors. Have employees confirm W-4s and bank details.
Mid-December: Run your last 2026 payroll with the old provider. Get written confirmation that it will file Q4 941, Form 940, your state Q4 returns and 2026 W-2s.
Late December: Download every report and form you'll ever want. Schedule the first new payroll with a January check date.
January 2027: Run the first payroll. Check the federal deposits in EFTPS.3
By February 1, 2027: Old provider delivers 2026 W-2s.5 Then cancel.

The part nobody puts in the brochure

Your payroll company files and deposits for you. But the IRS still treats you, the employer, as ultimately responsible for the deposits.3 Late deposits cost 2% to 15%, depending on how late.4 So during a switch, double-check the first few deposits.

The universal switching checklist

  1. Company tax IDs. EIN, legal name exactly as the IRS has it, Form 941 or 944, and your federal deposit schedule. A valid EIN is required whenever you file or pay electronically.22
  2. State account numbers. State withholding ID, state unemployment (SUI) account number and rate, and any local tax IDs.
  3. Year-to-date payroll. A YTD payroll register for everyone paid this year, including people who left.
  4. Prior quarter 941s and tax payments. Every 941 and state quarterly return filed this year, plus proof of deposits.2
  5. Employee W-4s and direct deposit. Federal and state withholding forms, pay rates, deductions, garnishments, PTO balances, bank details.
  6. Contractors. W-9s and year-to-date payments for 1099s.
  7. Agree who files each quarter. One provider per quarter. A second filing for the same quarter gets rejected.2
  8. Run the first new payroll, then cancel the old one. Download everything first.

Have to switch mid-year anyway?

That's fine. Switch at the start of a quarter if you can. Here's what Gusto asks for, by the quarter of your first Gusto check date:1

First Gusto check date in…Gusto needs
Q1 (Jan–Mar)All pay stubs in the current quarter
Q2 (Apr–Jun)Q1 quarter-to-date totals + all current-quarter pay stubs
Q3 (Jul–Sep)Q1 and Q2 quarter-to-date totals + all current-quarter pay stubs
Q4 (Oct–Dec)Q1, Q2 and Q3 quarter-to-date totals + all current-quarter pay stubs

FAQ

What is the best time of year to switch payroll providers?

January 1 is the cleanest. Your old provider finishes the year, and the new one starts a fresh year and a fresh quarter. With Gusto, a first check date in Q1 means it only needs that quarter's pay stubs.1

Can I switch payroll providers in the middle of a quarter?

Yes, but more history comes with you. Gusto asks for quarter-to-date totals from every finished quarter this year, plus every pay stub from the current quarter.1

Who files the W-2s when I switch payroll companies?

Only one provider should file W-2s for a year. If you switch mid-year, Gusto issues all of that year's W-2s using your old provider's data.2 If you switch on January 1, your old provider has all of 2026. Confirm in writing that it's filing those W-2s.

Am I still responsible if my payroll company misses a tax deposit?

Yes. The IRS says the employer is ultimately responsible for depositing and paying federal employment taxes, even when a third party handles it. The IRS suggests enrolling in EFTPS so you can confirm payments.3

How much are late payroll tax deposit penalties?

2% if 1–5 days late, 5% if 6–15 days, 10% after 15 days, and 15% if still unpaid 10 days after the first IRS notice.4
